Apartment and Gated Community Attempts

How process servers attempt apartments and gated communities: verify the unit, record access, and document denied entry without trespassing.

Large properties fail on the wrong building, a locked gate, or a note that skips what you actually saw. Verify the unit, try the access you were given, and write the facts. Verify the building and the unit Read the address as authorized. Confirm the community name, building letter or number, and unit marker before you knock. Photograph the marker that identified the door, not a random hallway. If two buildings share a similar number, say which one you used and how you told them apart. Do not serve the neighbor because the numbers looked close. Gates, call boxes, leasing offices, and concierge desks Use the access notes in the file. Try the call box, leasing office, or concierge if that is how the property is reached. Record whether someone answered, what they said, and whether they granted entry. If the gate stays closed, write that. If the office is closed, write the posted hours you saw. Those are useful facts. They are not permission to climb, tailgate, or talk your way past a control you were not given. Write what you saw, not what you assumed Occupied or vacant is a conclusion. Mail on the mat, lights, voices, a name on a directory, or a vehicle in a numbered space are observations. Put the observation in the note. Leave the lawsuit out of it. Denied or unavailable access If staff refuse entry, record who spoke, the time, and the words you can fairly quote. If no one answers the box, record how long you waited. Send that to the office the same day so the next instruction is based on the actual barrier. Safety and property lines Stay on paths and entries that a guest would use. Leave if the location feels unsafe. Do not trespass, misrepresent who you are, or defeat a lock, gate, or call box. PPS Serve does not ask you to do those things. Can I follow a resident through a gate? No. Use the access you were given. If you cannot get in, record the barrier and contact the office. What if leasing staff will not confirm the occupant? Write that they declined. Do not press for a roster. The attempt note is the record of the visit, not a tenant list.
